1. Who we are
WoonShare is a trade name of Fourtyn, a sole proprietorship registered with the Dutch Chamber of Commerce (KvK) under number 82073732, based in Rijen. Hereinafter: "WoonShare", "we" or "us".
We operate the platform woonshare.com, which brings together people looking for housing and private individuals who make a room, studio or address available. WoonShare is intended solely for sharing rooms, studios and addresses, not for offering complete rental homes or apartments.
We are not an intermediary or estate agent. We are the data controller for the personal data processed via the platform.
2. To whom this privacy policy applies
- Seekers: people looking for housing via the platform.
- Providers: private individuals who make a room, studio or address available via the platform.
- Visitors to the website, even if they do not create an account.
3. Which personal data we collect
3.1 Account and contact details
Name, email address, phone number (optional), profile photo (optional), language preference and password. The password is stored only in encrypted form and is not readable by us.
We do not collect a date of birth or a copy of an identity document.
3.2 Data about offered accommodation
Address, type of accommodation (room, studio or address), photos, availability, rent or compensation and other conditions provided by the Provider.
3.3 Communication data
Messages between users after a Provider has selected a Seeker, and messages between users and WoonShare via the contact form or by email.
3.4 Technical data
IP address, device and browser data and functional cookies needed for the operation of the platform, such as the session and the language choice.
3.5 Subscription and payment data
For a paid subscription we record: the chosen plan, the amount, the start date, the end date and the status of the subscription. In addition we store a customer number and a mandate number from our payment service provider.
We do not store account numbers, credit card details or other payment data ourselves. These are processed exclusively by our payment service provider.
3.6 Recording of consent
When taking out a paid subscription we record that and when you consented to the service starting immediately, with which text and in which language, and the IP address from which that consent was given. We do this in order to be able to demonstrate that consent was given.
4. What we use your data for
- Creating and managing your account — basis: performance of the contract.
- Bringing Seekers and Providers together — basis: performance of the contract.
- Sending transactional email: email verification, welcome message, message upon selection and messages about your subscription — basis: performance of the contract.
- Manual review of listings, fraud and misuse prevention — basis: legitimate interest.
- Customer service and communication about your account — basis: performance of the contract.
- Handling payments and subscriptions — basis: performance of the contract.
- Complying with legal obligations, including the tax retention obligation — basis: legal obligation.
We do not send newsletters and do not use your data for marketing purposes.
5. With whom we share your data
5.1 Other users
When a Provider selects a Seeker, a conversation arises between those two users on the platform. We do not share contact details by email; the message you receive contains only a first name and a reference to the platform.
5.2 Service providers
We engage the following parties as processors:
- Laravel Cloud: hosting, database and storage of uploaded photos. Processing takes place within the European Union.
- Brevo: sending of transactional email.
- Purelymail: our mailbox for incoming messages to info@woonshare.com.
- Mollie: handling of payments and collections.
We conclude a processing agreement with these parties.
5.3 Government authorities
Only where we are legally obliged to do so.
5.4 No sale
We never sell your data to third parties for commercial purposes.
6. Transfer outside the EU/EEA
Our hosting, database and photo storage take place within the European Union. Our payment service provider is based in the Netherlands and our provider for outgoing email in France.
The provider of our mailbox for incoming messages to info@woonshare.com is based outside the European Economic Area. Messages you send directly to this email address are processed there. If you want to avoid this, use the contact form on the platform or the messaging function in your account.
7. Retention periods
- Account data: kept for as long as your account exists. After deletion of your account your data is deleted within 30 days, with the exception of data that we are legally required to keep longer.
- Listings: kept for as long as they are on the platform. After removal or archiving they are deleted together with your account.
- Messages between users: kept for as long as both accounts involved exist.
- Data of a blocked account, including the reason for the block: kept for as long as the block is in force, so that we can justify the measure and prevent recurrence.
- Financial and tax data: 7 years, in accordance with the statutory tax retention obligation.
- Recorded consent for a subscription, including the IP address: kept for as long as the statutory retention period of the underlying agreement runs.
8. Cookies
We use only functional cookies that are necessary for the operation of the platform, such as remembering your session and your language choice. No consent is required for these cookies.
We do not use analytical cookies, marketing cookies or third-party cookies. We therefore do not show a cookie notice.
If we change this in the future, we will amend this policy and ask for your consent in advance where required.
9. Security
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. These include, among others:
- Encrypted connections (HTTPS) across the entire platform.
- Encrypted storage of passwords; passwords are not readable by us.
- Mandatory confirmation of your email address before you gain access to the functions of the platform.
- Access to administrative functions only for authorised accounts.
- Daily backups of the database.
- No storage of payment data on our own systems.
10. Your rights
Under the GDPR you have the right to access, rectification, erasure, restriction of processing, objection to processing and data portability. You can also withdraw consent given at any time.
You can submit a request via info@woonshare.com. We respond within one month of receipt; this period may be extended by two months for complex requests. You can also lodge a complaint with the Dutch Data Protection Authority.
11. Automated decision-making
We do not make decisions based on automated processing that have legal consequences for you. The platform shows listings based on your search query and filters; the choice to make contact with someone always lies with the users themselves.
12. Minors
The platform is not intended for persons under 18 years of age. By creating an account you declare that you are 18 years or older. If we determine that data of a minor has been collected, we delete it.
13. Changes to this privacy policy
We may amend this privacy policy from time to time. The most recent version is always available on the platform and applies from publication. In the event of significant changes we will inform you about this, for example by email or via a notice on the platform.
